What the AI may do

Where the line is

AI in Kalends proposes; it does not decide. The rules apply to the assistant, to document reading and to every connected tool.

  • You confirm every change

    The assistant prepares changes as cards. Nothing is saved until a person has confirmed it.

  • Sees only what the person sees

    The assistant and connected tools have the same access as the person using them, no more and no less.

  • External tools can only read

    A connection over MCP can read commitments, projects, goals, workload and the inbox, but never change anything.

  • Your own AI provider

    OpenAI, Anthropic or Google Gemini with your organisation's own API key. Only the provider you choose receives the question and the context from Kalends.

  • Documents are not stored

    Uploaded files are never stored, and the text read from them is deleted within a day. What you choose to create stays.

  • An administrator decides

    External AI tools are off until an administrator turns them on. Every connection appears in the audit trail and can be ended at any time.

How to get started

Getting started with AI in Kalends

Nothing is on until you turn it on.

    Add your organisation's API key

    Choose OpenAI, Anthropic or Google Gemini under Settings, AI. Usage is billed to your own account at the provider's price, with no markup from Kalends.

    Ask, or let Kalends read a document

    Open Ask Kalends from any view, or drop in an agreement. Review each proposal before anything is created.

  3. 3

    Let people connect their own tools

    An administrator turns on external AI tools. Each person then adds Kalends as a connector, or runs one command in Claude Code.

Common questions about AI in Kalends

Do the AI features cost extra?

No, they are included in Kalends. Questions go to the AI provider you choose, and usage is billed to your own account there.

Which AI providers can we use?

OpenAI, Anthropic or Google Gemini, with your organisation's own API key (BYOK). Only the provider you choose receives the question and the context from Kalends.

Which AI tools can connect to Kalends?

Claude, ChatGPT and other apps with custom connectors, Claude Code, Cursor and any other client that supports the Model Context Protocol (MCP). Tools that cannot sign in by themselves can use a personal access token.

Can an AI tool change anything in Kalends?

External AI tools can only read. The built-in assistant prepares changes as cards, and nothing is saved until a person confirms.

What happens to the documents we upload?

Kalends reads them to propose commitments and tasks. The file is never stored, and the text read from it is deleted within a day. What you choose to create stays.

Do we have to use all three?

No. Each can be used on its own, and nothing is on until you turn it on.
